National No Gazebo Day

On the 29th September 2014, during the inaugural #URYOnTour at an OB in Alcuin, URY's gazebo began to leak directly onto the rhino due to heavy rainfall. To prevent catastrophic damage, the desk was covered with an Asda shop for life bag (other plastic bags are available) and a box. [[Harry Whittaker]] and [[Michael Wallbank]], who were presenting at the time, periodically had to lift up the box to reach the controls to continue presenting, whilst avoiding letting water in. As rainfall continued to rise, an emergency early pack down was initiated and the broadcast was stopped. In its ruined, unsuitable for use state, the gazebo was later discarded.

In the 2015/2016 academic year, a new, incredible spacious gazebo was purchased for the URY101 Charity Broadcast and general station use. The gazebo was much loved by all involved with URY101 and lasted the five days without difficulty. A happy future for the new gazebo was deemed irrevocably certain.

However, on the 29th September 2016, disaster struck. On the sixth day of #URYOnTour2016, URY were broadcasting in Derwent and using the gazebo. With the broadcast in full swing and no current technical requirements, the only engineers present at the OB, [[Marco Bolt]] and [[Stephen Clarke]], left to conduct work in the station. Only the presenter on air, two music team members and the Programme Controller and ASM, [[Naomi Gildert]], remained behind. The gazebo required 6 people to disassemble.

Over the course of 30 minutes several gusts of wind blew that were strong enough to inflate the gazebo with air and lift it off the ground. In one of these instances, the base for one of the legs - a heavy duty container that is filled with water to weight the gazebo down - lifted high enough into the air and knocked the OB pc monitor clean off the desk. Stephen Clarke was radioed to return to the setup. In a panic, desperate to keep the broadcast live, the four URY members present attempted to take the gazebo down with the help of some Derwent freshers. Whilst battling rain, increasingly strong winds and struggling to coordinate movement over the sound of the wind and music, one gazebo leg became stuck half collapsed. This was the demise of the second gazebo on the 29th September. Steve returned to the setup and tried desperately to properly collapse the leg, but too much force had been exerted and it was sadly unsalvageable. To this day, shouting at each other over a broken gazebo is the only argument Stephen Clarke and Naomi Gildert have ever had.

URY was now gazeboless, with no plans of replacement, and the curse was surely broken.

Nope! On the 29th September 2017, URY borrowed YSTV's gazebo to broadcast by the lake in James as part of #URYOnTour2017. A far less premium gazebo than those previously owned by URY: the weight of the rain collecting on the awning caused it to buckle within hours of set up. The Assistant Station Manager on site, [[Will Matlock]], keen to prevent war between the two media societies, rushed the gazebo back to the station to fix it. With the help of [[Richard Millar]] and [[Neave Spikings]], the poles were bent back into shape with screw drivers. The gazebo was packed back up and returned to YSTV.

The only conclusion that can be drawn from this cautionary tale is: if its the 29th September: don't f****ng put a gazebo up.

HowTo Upload Music to the System

8796: How to upload music to the central music library

You can only upload music to the system if you have been 'Manual Track Uploader' trained. If you would like this training email pc@ury.org.uk

Remember: all music must be played through BAPs unless you are specialist music and have special permission from PC to use laptops for DJing, the decks or the vinyl players.

Manual Track Uploader allows you to add music to the system. When you want to upload a track, always double check to make sure it’s not in the system already. Do this by searching the central music library in BAPs.

== Uploading Music ==
To upload music follow these instructions.

* Go to show planner:
* In the top right hand corner click 'Manage Library'
* Click the drop down menu and select 'Central Music Library'
* Drag and drop the MP3 file you would like to upload into the window, have the file ready in a folder in My Computer or Finder (depending on PC or Mac) and then drag it in.
* Files MUST be in MP3. Mp4a or any other format will not upload. If you have a track in mp4a format you can convert in iTunes just by right clicking on the song and clicking “Create MP3 Version” from the drop down menu. Or use an online converter.
* You must LEGALLY own the songs. Either buying them from iTunes, Google Play or Amazon, or importing them into your library from a CD. They must not be pirated copies or Youtube rips. If it is found you have uploaded an illegal copy of a song you will have your uploader permissions revoked and you could even face suspension from URY.
* Drag the song into the window and the track will begin uploading.
* If the track has a bitrate below 192 kpb/s it will not upload. You can sometimes use online converters to increase the bitrate.
* Once the upload finishes if the file has metadata stored the metadata fields will be filled in automatically: Please check they are all correct before clicking save.
* If the metadata isn’t stored in the file then you must fill in the fields yourself. It is very important you fill these fields in correctly. Be very wary of spelling mistakes! If you are unsure of any of the fields like track number or album title, these can be found in iTunes by right clicking the track and selecting “Get Info”. You can also find this information using Windows Player or you can also google album details if you use neither of these services. If you’re worried about spelling mistakes, or if the artist has special characters in their name like accented letters, copy and paste!
* Please remember to tick the box if the track is explicit. If you’re unsure: google the lyrics and check.
* Once you’ve completed filling in the fields click “save using metadata”. Wait until the bar goes green and says the song has been successfully uploaded. The song will now be available to put in a show plan.
* If you are then planning to add another song to the system drag that file into the window.
* Never drag more than one file into the uploader at a time and then click save using metadata. It may look like it will do it one after the other but it WON’T. You will end up uploading the same song several times with different metadata. I did this once with the first half of the alt-J album and we ended up with Hunger of the Pine on the system 6 times under different names.
* And that’s it!

URY History

You must have attended and passed a studio training session, signed your presenter's contract and paid URY Membership in order to create a show.

==Getting Studio Trained==

To get studio trained, log in to MyRadio and underneath 'Get On Air' select 'Get Studio Trained'. Click 'Join' on a session you are available to attend. If there are no free sessions available email the [[Training Co-Ordinator]] at training@ury.org.uk to organise a session.

==Paying Membership==

The easiest way to pay membership is to pay online through yusu.org. Alternatively you can put the cost of membership in a named envelope in the mailbox inside the office in the station, or give it to your trainer at studio training.

==Creating a Show==

Once you're trained and paid you're ready to create a show.

Again, under 'Get On Air' click 'Apply For A Show' this will take you to your 'My Shows' page. If you are creating a show for the first time, this table will of course be empty.

In the bar at the top of the table click 'Create A Show', this will take you to the 'Create a New Show' Form.

==='About My Show'===

This section of the form is all about providing information for what kind of show your show will be.

====Show Name====

Enter the name for your show. The form will tell you if that name is unique or if someone else has used that show name before. Try to avoid using a name that's already been used as it's important (and more fun) to have a show with it's own identity.

====Description====

Describe your show: what kind of music will you play? What's it about? Do you have any fun weekly segments or games planned? The purpose of this description is two-fold:
1) it will be used by the [[Programme Controller]] when allocating your show to deem whether your show is appropriate for URY (aka doesn't break any license rules), where it would fit well on the schedule (whilst still conforming to your time choices see [[HowTo Apply for a Season of a Show| applying for a season of a show]] and if you're applying for a Flagship show whether or not the show would work well for that type of slot.
2) the show description is visible to everyone on the website: use it to sell yourself and advertise your show! Entice listeners to tune in.

====Genre====

Select the genre of music you're going to play on your show from the drop down menu. If you're going to be playing a mix, select 'Anything Goes'.

====Tags====

Enter some keywords to describe your show separated by spaces, e.g. Chat Music Quiz Banter

==='Who's On My Show'===

This section of the form details who else is on your show and whether your show will be made available to listen again online.

====Credit====

If you are going to be doing your show alone you can leave this section as it is.

If you are doing the show with someone else click 'Add Another' at the bottom of the Credit table and fill in the fields accordingly. Only people who have MyRadio accounts can be added as a credit to a show. Remember a guest who is not a member of URY can only appear twice on URY per academic year before they must pay URY membership and get studio trained.

===Enable Mixcloud===

Mixcloud is a fantastic streaming service that allows you to host entire radio shows with music and pays for all the royalties for that music. (Back in the old days you used to have to manually edit all your shows to remove any copyrighted content so you didn't get nabbed by the feds.) For shows to be automatically uploaded to Mixcloud you must play at least three songs during a one hour period and you must have ticked this box. Shows appear on Mixcloud approximately 20 minutes after they have finished airing.

#* Don't continue playing music, go into the news intro as soon as the studio clock countdown expires. It is always more professional to stop a song early and link out of it into the news intro than going straight from the middle of a song to the intro, but some intro is better than no intro.
#* Also, saying self-referential things like "Now we have to do the news intro" sounds silly and you should try not to do that either!
# Say the words that come up on the studio clock. If the studio clock isn't working, then usually the correct magickal words are ''"Across campus on 1350AM and online at ury.org.uk, this is URY News"''.
# Fade the NEWS fader up (usually on the left of the desk). You can keep the news bed going as long as the news can be heard comfortably over the top of it.

Every year, towards the end of the Autumn Term, URY has this awful habit of doing two "festive" "things".

== URY Christmas Single ==
URY's Committee, Presenters and general happeners all get together on a Saturday (or other convenient time), to record a cute original music video for a popular song. Of course, this is then followed up with a studio recording of our wonderful voices singing - I can assure you it's an experience.

Usually, these songs are covers of traditional Christmas tunes. Although sometimes they will be parodies relevant to the University of York, or even completely original compositions. As of 2013, all of these are available in URY's Central Music Library.

Every year, towards the end of the Autumn Term, URY has this awful habit of doing two "festive" "things".

== URY Christmas Single ==
URY's Committee, Presenters and general happeners all get together on a Saturday (or other convenient time), to record a cute original music video for a popular song. Of course, this is then followed up with a studio recording of our wonderful voices singing - I can assure you it's an experience.

Usually, these songs are covers of traditional Christmas tunes. Although sometimes they will be parodies relevant to the University of York, or even completely original compositions. As of 2013, all of these are available in URY's Central Music Library.
